What’s happening — and why your surveys don’t have to change.
For the past 11 years, every Survey Solutions survey has run on systems built, owned, and operated by Canopy: the sales, the sampling, the mail, phone, and text fielding, the in-hospital tablets, the dashboards you log into, and the technical team that fixes things when they break. Canopy prepared the CMS submission file every quarter along the way.
The Survey Solutions joint ownership is being dissolved, effective September 30, 2026. The name is going away. The sales, platform, the operations, and the team are not: they continue directly as Canopy, the same way they’ve run for more than 180 hospitals and clinics.
What does change is paperwork: to keep your surveys running into the fourth quarter, your hospital needs a new agreement and BAA with Canopy — signed by October 1, 2026. That’s the entire transition.
Approved for CMS CAHPS surveys including HCAHPS and OAS CAHPS.

Q4 begins — agreements must be signed
CMS permits survey-vendor changes only at calendar-quarter boundaries, which makes October 1 the deadline that matters. Missing it risks a gap in publicly reported data that can’t be patched mid-quarter.

Q4 survey data deadline
CMS requires every survey to be initiated within 42 days of the patient’s discharge — November 12 for an October 1 discharge — and mail processing takes lead time, so November 8 is the last day paperwork can be complete and still make the first mailing. With Canopy, surveys simply continue on schedule.

Fielding for July–September discharges completes under the Survey Solutions name, on the same systems as today, no matter which vendor you choose for Q4. Nothing for you to do here.

Q3 data submission wraps up
The final Q3 submission file is prepared on schedule, closing out the Survey Solutions era cleanly. From Q4 forward, Canopy submits directly to CMS under its own HCAHPS and OAS CAHPS approvals.

The sales process, survey platform, data feeds, and team behind it were built and operated by Canopy, and they continue without interruption — client hospitals simply sign a new agreement and BAA with Canopy to keep their Q4 surveys running.
Canopy, a d/b/a of AdCo Advertising Agency, is the company that built and operated the Survey Solutions platform end to end for the past 11 years — the sales, sampling, the mail, phone, and text fielding, the dashboards, and the technical support. If you've logged into your dashboard, you've been working with Canopy all along. Canopy holds its own CMS approvals for the HCAHPS and OAS CAHPS surveys.
Two signatures: a new services agreement and a business associate agreement (BAA). Your dashboard, logins, data feeds, tablets, survey operations, and support team carry over exactly as they are — no onboarding, no retraining, no IT project.
CMS permits hospitals to change survey vendors only at calendar-quarter boundaries, and the fourth quarter begins October 1, 2026. Surveys must also be initiated within 42 days of each patient discharge, so whoever runs your Q4 surveys needs a signed agreement and BAA in place by October 1 — with Canopy, no later than November 8.
They finish normally, under the Survey Solutions name and on the same systems as today — fielding for July–September discharges completes through December and the CMS submission file is prepared on schedule, regardless of which vendor you choose for Q4. No action is needed.
With your permission, it stays right where it is. Staying with Canopy means your dashboards keep their full reporting history — trend lines and board reports continue uninterrupted. A new vendor's reporting potentially starts from zero.
Nothing new. Canopy credits every month you've already paid on your current contract — paid through April 1 means you pay nothing until April 1. Extend your agreement three or more years past your current term and the extended time is discounted 10%. Six months of Radia 360 (unlimited email campaigns; texting available as an add-on) and Concise are included free.
